This policy explains what personal data the US Sand Arena member platform collects, why we collect it, who can see it and what you can do about it. It covers the platform only — what happens at the arena itself is governed by the rules and forms you sign there.
US Sand Arena, at Quiet Waters Park, 401 Powerline Rd, Deerfield Beach, FL 33442, USA, decides how and why your data is used on this platform. For anything about your data, write to contact@ussandarena.com.
When you sign up: your name, your email address and a password. We never store the password itself, only a value derived from it that cannot be turned back into the password.
When you complete your profile: your gender, your date of birth, your phone number and the sports you play. These are required — the arena needs them to place you in the right groups and to reach you about games and check-in.
Optional, and skippable at any point: your weight, your height and a profile photo. You can add them later or clear them whenever you want.
From your activity: your Open Play check-ins with date, price, payment status and payment method; your tournament registrations, partners, results, matches played and minutes on court; and the playing level a coach assigns you.
Automatically, when you are signed in: your IP address and your browser's user agent are stored with each session, and your IP is used to limit how often a password reset can be requested.
Most of it comes from you. Some of it is added by arena staff — for example when the desk registers a check-in or confirms a payment for you.
Some of it can come from another member: in doubles events a member may enter a partner's name. That name is stored even if the partner has no account.
To create and run your account and keep you signed in.
To run Open Play: check you in, apply the right price and keep a record of what was paid and what is still owed.
To run tournaments: registrations, pairings, brackets, the public board and the results.
To place you in the right category — age group, gender and playing level are what make brackets fair.
To contact you about the arena, your games and your account, and to send transactional email such as a password reset.
To estimate the calories you burned in your own matches, if you gave us your weight and height.
To keep the platform safe and working: rate limits on password resets, and technical records of your sessions.
Public, with no account needed: on a tournament page, the name of each registered athlete and their partner, their status in the draw and the results. Nothing else about them is public.
Arena staff: your name, contact details, check-in and payment history, and — only for the people checked in on the day — your profile photo, so the desk can recognise you. Administrators can also see your email address.
Only you: your weight, your height and the calorie estimate that comes from them. No public page and no staff screen shows a third party's weight, height or calories.
Not shown to you: the internal sub-level a coach may record inside your playing level. It is used for balancing draws.
We do not sell your data and we do not use it for advertising.
We use a small number of service providers to run the platform. They process data on our instructions and for no other purpose:
Convex — the database, the file storage and the scheduled jobs behind the platform.
Resend — delivery of transactional email, such as password resets.
Vercel — hosting of the website.
Payments happen outside the platform. When you use a payment link we send you, the payment provider handles that transaction under its own terms and we only record the outcome.
We may also disclose data when the law requires it, or to establish or defend a legal claim.
We use two cookies and neither is for advertising. One keeps you signed in. The other remembers the language you picked.
There is no analytics, no tracking pixel, no session recording and no third-party advertising on this platform.
The platform and its providers are based in the United States, so your data is stored and processed there. If you are writing to us from Brazil or elsewhere, using the platform means your data travels to the United States.
Your account and profile stay while your account exists.
A photo you started uploading but never attached to your profile is deleted automatically within a day. Replacing or removing your profile photo deletes the previous file.
Records of check-ins, payments, registrations and results are kept as the arena's operating history. They carry the name you had at the time, so renaming your account does not rewrite past records.
When you ask us to close your account we delete what we can and keep what the arena has to keep.
You can edit your name, gender, date of birth and phone number from your profile at any time.
You can clear your weight and height by leaving the fields empty and saving. That removes the values and the calorie estimate that came from them.
You can replace or delete your profile photo from your profile.
For a copy of your data, a correction we did not let you make yourself, or deletion of your account, write to contact@ussandarena.com. We handle these by hand today, so give us a few days.
Depending on where you live you may have further rights over your data — including, in Brazil, the rights the LGPD gives you. Write to us and we will honour what applies.
Access to member data is limited by role: what a coach, a desk operator and an administrator can see are deliberately different, and public pages are built to leave personal data out.
Uploaded photos are served from a long-lived storage link. Anyone who has that link can open the file, so we keep those links inside the platform and delete the file when you remove the photo. Deleting is what actually revokes access.
No platform is perfectly secure. If a breach affects you, we will tell you and the authorities as the law requires.
The member area is not built for young children, and we do not knowingly collect data from a child below the minimum age for an account.
The minimum age is under review and will be stated here once it is set. If you believe a child gave us data, write to contact@ussandarena.com and we will remove it.
We may update this policy. The effective date at the top always tells you which version is in force, and we will let members know about meaningful changes.
